Tintix Privacy Policy
This policy explains what the Tintix inventory app collects, how it is used, and who else handles it. It covers the Tintix iPhone app and the Tintix website at tintix.ai4pharma.org, which the iPhone app opens. Both are run by Tintix LLC (“we”).
The app is a work tool for Tintix staff. There is no public sign-up: an administrator creates each account. The app shows no ads, we do not sell data, and we do not track you across other companies’ apps or websites.
What we collect
- Account details — your name, email address, role, permissions and shop. Your password is stored only as a one-way hash.
- Work records — items, counts, stock moves, requests, transfers, orders, receiving and notes, with who did each one and when.
- Supplier and order details — supplier contact names, phone numbers, email addresses and account numbers, and the order confirmations and documents sent to the shop’s orders mailbox or uploaded to the app. For every email the app checks, it keeps the sender, subject and date.
- Photos, video and captures — item and label photos, window captures with the camera’s position and calibration data, vehicle and license plate photos, and shelf audit videos, which include sound only when you agree to it.
- Vehicle details — VINs, license plates and states, and the vehicle details found for them.
- Assistant questions — what you type or say to the assistant, and its answers. Spoken questions are turned into text by a speech service; we do not keep the recording.
- WhatsApp messages — if the shop links a WhatsApp account, the names, phone numbers and messages from the shop’s chats with it, and the notices the app posts there.
- Technical data — two cookies: one keeps you signed in and one remembers whether you use the Desk or Floor layout. We record how long each AI request took and whether it worked, and our server logs errors and product searches with the account that made them. We use no analytics, advertising or tracking tools, and the iPhone app contains none.
How we use it
Only to run the shop’s inventory: to sign you in and apply your permissions, keep an accurate stock and cost history, receive and match orders, look up items, barcodes and vehicles, process window captures and shelf audits, answer questions in the assistant, send password emails, and post shop notices to WhatsApp when the shop has set that up.
Camera and microphone
The app uses the camera only when you scan, take a photo or start a capture, and the microphone only when you dictate or record an audit with sound. You can turn either permission off in your phone’s settings; the features that need it will stop working.
Who else handles it
We share data only with companies that run parts of the app for us, and only what each task needs:
- Amazon Web Services hosts the app and its data, turns dictation into text, runs product web searches and, when those features are on, runs AI models and shelf audit video analysis with the sound removed.
- Anthropic’s Claude AI, reached directly or through Amazon Web Services, reads order documents, item and plate photos, vehicle details, assistant questions and messages to the shop’s WhatsApp assistant, to produce answers and suggestions.
- Cohere processes item names, item photos and searches so items can be found by name or picture.
- Cloudflare carries the secure connection between your device and our server.
- The shop’s email provider handles the orders mailbox and password emails.
- WhatsApp (Meta) carries shop chats and notices, only if the shop links an account.
- Barcode and vehicle lookup services (UPCitemdb, Go-UPC, NHTSA, CarsXE, Plate Recognizer and XPEL) receive only what is being looked up: a barcode, a VIN, a license plate or its photo, or a vehicle’s year, make and model.
We do not sell personal data or share it for advertising. We may disclose data when the law requires it.
How long we keep it
- Stock and order history is kept permanently so counts and costs stay accurate. Mistakes are corrected with new entries, not erased.
- Accounts stay on file after an administrator turns them off, so past records still show who did what.
- Photos stay with their items. Uploads that are never saved are deleted within a few hours, and vehicle photos are deleted once their lookup finishes. Window captures can be deleted in the app. Shelf audit videos and WhatsApp messages are kept for the shop’s records.
- Sign-in sessions end after 30 days without use. Backups are deleted after 30 days.
Your choices
To see, correct or delete your personal data, or to close your account, ask your Tintix administrator or email info@tintix.com. We will respond promptly and tell you if anything must be kept, such as stock history we need for our business and tax records. Depending on where you live, you may have other privacy rights; contact us to use them.
Security
Connections use HTTPS, passwords are stored as one-way hashes, and photos and records are shown only to signed-in staff whose role allows it.
Children
The app is a work tool for adults. It is not meant for children, and we do not knowingly collect data from anyone under 16.
Changes
If we change this policy, we will update this page and the date at the top.
